EXECUTIVE ASSISTANT (FULL-TIME)

PURPOSE OF THE POSITION:
Job Summary: The Executive Assistant provides high-level administrative support to the President & Chief Executive Officer (CEO), primarily by managing calendars, scheduling meetings, and prioritizing tasks. The role ensures the efficient use of the President & CEO’s time by understanding departmental priorities and ongoing projects. In addition, this role supports the SC Statewide Independent Living Council, as well as other key organizational functions.

Location: Columbia, SC
Hours: Full-time, flexible work schedule; 34-40 hours per week.
Salary Range: $42K-$58K annually, depending on experience and qualifications.
ESSENTIAL DUTIES:
- Calendar and Schedule Management: Oversee the President & CEO’s calendar, ensuring appointments and meetings align with priorities. Coordinate and schedule meetings, events, and travel arrangements.
- Correspondence Management: Open, sort, and distribute correspondence (emails, faxes, and postal mail), preparing confidential communications for review and approval.
- Board and Council Coordination: Coordinate meetings for the Able SC Board of Directors, including agenda preparation and logistics.
- Council Administration: Oversee governor-appointed council email communications, coordinate council meetings, and prepare necessary reports. Maintain and update the Council’s website and social media platforms, ensuring that all information is accurate and current.
- Office Management: Ensure the smooth operation of office equipment, troubleshoot malfunctions, and coordinate maintenance or repairs. Maintain office inventory and supplies, anticipating needs and placing orders as necessary.
- Event Planning Support: Support the planning, coordinating, and executing of various events, including staff events, fundraising initiatives, and conferences.
- Independent Project Work: Handle special projects independently, demonstrating the ability to manage multiple tasks and prioritize effectively.
- Carry out additional assignments as delegated.
SUPERVISORY RESPONSIBILITIES: None.
QUALIFICATIONS:
- Bachelor of Arts or Bachelor of Science (BA/BS) in Business Administration or related field. Education may be substituted for experience.
- Proven experience in an administrative or executive assistant role.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Excellent communication and writing skills.
- Ability to work independently and take initiative on projects.
- Superior organizational skills, attention to detail, and ability to prioritize and manage multiple tasks.
- Problem-solving ability.
- Advanced Microsoft Office experience.
- Must have a positive attitude.
- Knowledge of disability rights and IL philosophy is required.
- Experience with working in teams to accomplish goals.
- Experience in the delivery of presentations and training to groups required.
