Information and Referral Coordinator Job Description

INFORMATION AND REFERRAL COORDINATOR (FULL-TIME)

PURPOSE OF THE POSITION:  

The purpose of this position is to provide information and referral (I&R) services, assist in coordinating the organization’s I&R department in partnership with the Director of I&R, and to supervise select staff, ensuring accurate and quality services are provided to all callers and walk-ins. The Information and Referral Coordinator must be creative and enjoy working in a fast-paced and results-driven environment. This position is supervised by the Director of Information and Referral.

Location: Columbia, SC 

Hours: Full-time, 34-40 hours per week (Able South Carolina operates a flexible workweek, where employees may work 34-40 hours per week) 

Salary Range: Based on experience and qualifications. 

 

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES (with or without reasonable accommodations):

  • Serves as an advocate for the rights of people with disabilities. 
  • Disseminates knowledge of IL philosophy to staff, consumers, and the community at large. Advocate for consumer choice and consumer-driven focus in all situations. 
  • Protects consumer and agency information by adhering to confidentiality standards. 
  • Employs Professional Judgment and continues professional development.  
  • Ensure people with disabilities connect with Able SC as their community by offering a warm and welcoming environment.  

 

 

Department Coordinator Duties 

Oversees and runs the I&R department with support from the Director of I&R 

  • Oversees and coordinates Information and Referral services by ensuring an efficient and thorough service delivery system and accurate reporting in CILSuite database system 
  • Supports best practices in I&R services and ensures callers receive the utmost quality of services.  
  • Trains, supervise and evaluate relevant staff, including Information and Referral Specialists, Front Desk staff, AmeriCorps members, and volunteers. 
  • Works closely with the Director of I&R to maintain and update systems and operations for the I&R department, ensuring quality of I&R services. 
  • Assist with developing and evaluating standard operating procedures and other materials for the I&R department. 
  • Oversees quality of intakes for Independent Living Services, ensuring that intakes are following IL philosophy and that all the necessary information and notes are input into CILsuite database system. 
  • Assists the department with collecting and interpreting relevant data, such as phone volume, types of calls, and other data for relevant grants.  
  • Ensure that the department follows the requirements of Title VI of the Rehabilitation Act as required for I&R for Centers for Independent Living.  

Oversee AT Department in Partnership with the Director of I&R 

  • Oversee the Assistive Technology program, updating processes as needed, ensuring smooth delivery of services, securing AT donations, exploring funding opportunities and overseeing program quality.  
  • Oversees AT inventory, ensuring records are updated and maintained 

Ensures that the AT warehouse is organized and inventoried.  

  • Ensures proper documentation of AT processes is being followed and that paperwork is being handled and uploaded in CILSuite database system. 

Oversees Front Desk Staff and Processes with Director of I&R 

  • Ensures that the main areas of the Columbia office are presentable and organized by supervising and checking in with the staff responsible for the front desk.  
  • Enforces office and phone coverage in Columbia. 
  • Ensures that the required paperwork is at the front desk and that it is being processed correctly. 
  • Ensures that mail at the Columbia office is processed and logged.  
  • Ensures that walk-ins and visitors are greeted and helped in a polite and professional manner. 
  • Helps support and train Front Desk staff.

I&R  Duties 

  • Supports the team and I&R department  
  • Ensures requests (phone calls, emails, and voicemails) are being returned in a timely manner  
  • Assists with responding to I&R requests when team members are out or when call volume is high.  
  • Provide I&R and follow-up to callers.  
  • Community Research & Information & Referral Caseload 
  • Conducts research on best practices, resources, and community-related information for I&R requests and staff, helping ensure information and resources are accurate and up to date. 
  • Coordinates a caseload of I&Rs, providing detailed 1-on-1 I&R support for calls relevant to the staff’s expertise.  
  • Provides necessary follow-up to complete information and referral. 
  • Intake Specialist Duties  
  • Conducts intakes for IL services as needed, especially for more complex calls and requests.  
  • Inputs data into our database system including recording accurate, detailed notes while uploading necessary paperwork or documentation. 
  • Provides and completes Social Security Administration program screenings (if certified and appropriate) and forwards requests to the appropriate staff for follow-through.  
  • Ensure that effective communication and alternative formats are provided depending on the individual’s needs.  
  • Assistive Technology Duties  
  • Completes and help supports with AT requests and donations, handling and uploading all required paperwork as needed (when staff are out or when requests are high) 
  • Updates and organizes AT inventory as needed (if staff are out or when requests are high)  
  • Front Desk Duties  
  • Assists visitors and walk-ins as needed. 
  • Explains Able SC mission and services to walk-ins, connecting them to the appropriate departments and services. 
  • Ensure that the front desk is covered by staff at all times.  

 

Other Responsibilities 

  • Carries out additional assignments as delegated in a timely manner 

 

SUPERVISORY RESPONSIBILITIES:  

Supervision of Information and Referral Specialists and relevant Office Assistants, and assist in supporting assigned AmeriCorps Members 

 

QUALIFICATIONS:  

  • A bachelor’s degree in human services or another related field. An equivalent combination of education and experience providing support to persons with disabilities may be substituted for the college degree.   
  • At least two years of documented experience working with persons with disabilities or personal experience with a disability required.  
  • Experience working in an administrative capacity. 
  • Knowledge of disability rights and IL philosophy required.  
  • Knowledge of the service system, benefits, entitlements and supports utilized by people with disabilities.  
  • Experience with working in teams to accomplish goals.  
  • Experience in program evaluation required. 
  • Ability to communicate effectively orally and in written form.  
  • Must have reliable transportation.  
  • Must be proficient with Microsoft Office.  
  • Knowledge of assistive technology and related resources.
